Hosting a Reception, Social, or Event at ACPA20

Whether your goal is to outreach to potential new students or employees, connect with alumni and friends, or uphold a longstanding ACPA tradition, hosting an event for your institution, entity group, or organization is a great way to become part of Convention at ACPA20!

In addition to receptions, ancillary requests can be submitted to spaces used for non-educational programs.  These could include meetings and other get-togethers.  

If a program will be educational in nature, it needs to be submitted as an Educational Session Program Proposal (due 6 September 2019).

Process for Requests

All ancillary requests must be submitted through the Ancillary Requests Form. Please provide as much detail as possible. As you’re entering your Ancillary Request please keep in mind that Convention is 2-5 March 2020 with Opening Session, CelebrACPA, and CultureFest on Monday, 2 March 2020 and Closing Session on Thursday, 5 March 2020.  

The deadline for ACPA Entity Groups to submit requests is 20 September 2019. The deadline for all external groups to submit requests is 1 November 2019. All requests received by the deadline are considered, scheduled, and confirmed based on available space during Convention. While we do our best to accommodate all requests, the ACPA20 Team cannot guarantee you will receive your first choice.

Food and Beverage

Food and beverage is optional for your event.  All catering costs need to be covered by your group. The deadline to confirm your food and beverage requests is 20 December 2019, with final confirmation of counts by 31 January 2019.

Please note all food must be ordered through the catering menus for meetings and events taking place in the Music City Center and Omni Nashville Hotel.

Menus are available below so you may begin planning your order.  By December 2019 the contact who submitted the Ancillary Request will receive notification by email of the finalized day, time, and location of your event along with instructions on how to submit food and beverage orders.

Audio Visual (A/V Requests)

You are able to request audio visual services as a part of your ancillary space request. All A/V services will need to be covered by your group.  A full list of A/V options including associated costs is available on the request form.
