Hosting a Reception/Social or Event at ACPA18
Whether your goal is to outreach to potential new students or employees, to connect with alumni and friends, or to uphold a longstanding ACPA tradition, hosting an event for your institution or organization can be a great way to become part of Convention at ACPA18!
Other Ancillary-Type Space
In addition to receptions, requests can be submitted to spaces used for non-educational programs. These could include meetings and other get-togethers. If a program will be educational in nature, it needs to be submitted as an Educational Session.
Process for Requests
All ancillary requests must be submitted through the ACPA E-Show portal. Please provide as much detail as possible. All requests will be considered and will be placed depending on space available on the given days of the convention. ACPA18 can’t guarantee that you will receive your first choice.
Decisions on the date/time and location of space will be available in December 2017. ACPA18 will assign only space in the George R. Brown Convention Center and/or in the Hilton Americas. Formal maps will be made available.
NOTE: ACPA18 is not responsible for reserving events in venues outside of these spaces. You are welcome to submit requests so that such events can be included in the convention guide.
Food and Beverage
Food and beverage is optional for your event, and cost will need to be covered by your group. Menu options from both the George R. Brown (GRB) and Hilton Americas will be available in November 2017. The deadline to confirm your food and beverage requests is 12 January 2018, with final confirmation of counts by 2 February 2018.
Please note that all food must be ordered through the approved food provider in the GRB and/or the Hilton.

Audio Visual (A/V Requests)
You are able to request audio visual services as a part of your ancillary space request. You or your organization will be responsible for any costs associated with your Audio Visual request. LCD projectors are not supplied in ancillary space rooms unless requested, and no AV requests can be accommodated for Round Table events. A full list of A/V options is available on the request form.
